Image and Media Consent Notice
How BuddiesForLife uses photographs, video, audio and testimonials
This notice explains what happens when you give Lobal Ltd, trading as BuddiesForLife (“we”, “us” or “our”), permission to use photographs, video, audio recordings or written comments featuring you or a child for whom you have parental responsibility or legal guardianship.
Your choice and consent
Giving permission is voluntary. Refusing or later withdrawing consent will not affect access to our products, services, events or activities. We rely on consent as our lawful basis for the uses selected on the permission form. We will keep a record of what you agreed to, when and how.
What you can agree to
You may opt in separately to the following uses:
· BuddiesForLife channels – our website, online shop, social media accounts, emails and printed marketing or educational materials.
· External publicity – press coverage, communications produced by project partners, presentations, exhibitions and award or funding applications.
· Name and words – use of the featured person’s first name and/or their comments or testimonial alongside the material.
We will only use the material for the options positively selected. We will not use a full name or other identifying information unless this has been agreed separately.
How material may be presented
We may select, crop, resize, caption, edit or combine material with other content so that it works in different formats. We will not knowingly alter it in a misleading, offensive or unfair way. Permission covers material created by us and material supplied to us by you or the person featured. No fee or royalty is payable unless we agree otherwise in writing.
Sharing and online publication
Where you select external publicity, we may provide material to named or relevant project partners, designers, printers, event organisers, funding or award bodies and media organisations for the agreed purpose. Suppliers processing material for us must handle it appropriately. Content published online may be viewed, copied or shared by others, including outside the UK. We cannot fully control or recover third-party copies once something has been published.
Storage and retention
We store consent records and original or edited material securely and limit access to people who need it. Consent does not have a fixed expiry date, but we will review whether continued use remains appropriate, particularly for children. We may stop using or delete material that is no longer needed. Consent records may be retained as evidence of permissions previously granted or withdrawn.
Withdrawing permission
You may withdraw any or all of your permissions at any time by emailing sian@buddiesforlife.co.uk and identifying the person and material concerned. We will stop new use and remove material from channels we control as soon as reasonably practicable. Withdrawal will not make earlier use unlawful and we may be unable to recall printed items already distributed, material already used in completed campaigns or copies shared by third parties.
Children and capacity
A parent or legal guardian should consider the child’s wishes and involve them in the decision where appropriate. As a child’s understanding develops, we may seek their agreement directly or refresh the permission. Extra care will be taken not to publish information that could create a safeguarding risk.
The standard form must not be used for an adult who cannot understand and decide about publication of their image. A relative or carer does not automatically have authority to consent for that adult. We will consider the circumstances separately, including any valid health and welfare lasting power of attorney or deputyship, the person’s wishes and feelings, safeguarding and a documented best-interests assessment where appropriate. We may decide not to publish.
Your data-protection rights
Depending on the circumstances, you may ask us for access to your personal data or to correct, erase or restrict its use. You may also complain to the Information Commissioner’s Office at ico.org.uk.
